A complete system for managing your technical documentation

Skribenta Component Content Management System (CCMS) is the production environment for technical information, where you create and maintain your content. Designed for the requirements of demanding industries, it makes it possible to manage large amounts of documentation with minimum effort and maximum quality.

Single sourcing

Avoid duplication and unnecessary work. Skribenta organizes content into modules for reuse across multiple publications. Content can also be prepped for reuse via Conditions, which lets you set up automatic adaption to specific product configurations and user audiences.

Raise your productivity with these single-sourcing techniques:

  • Organize your content in topics, which can be reused in different contexts.

  • Define variables which specify differences between your projects or products and use them as conditions to select what content is used in which context.

  • Use the same source content with different variables to produce many documents.

  • Insert variables such as product names or product data values directly into your content.

  • Generate user assistance content based on data lists that can be turned into tables or other layouts of your choice.

  • At any time, assemble your source files to production quality output.

Version control

Stay on top of multiple publication versions and releases. Check in, or freeze, individual files and folders in a workspace, or the entire workspace itself. After you’ve made a revision or update, files are checked out, and a new version is automatically created.

Version control at every level:

  • Our workspace feature makes version control much easier than it sounds — for most situations you can just let the workspace handle the versions of all your resources with a minimum of effort. Just decide when the workspace should have a new version.

  • If needed, different workspaces can work in separate branches of your content. Users of each workspace can update files without affecting the other workspaces. Choose when to merge the branches.

  • Select a previous version of your system to go back in time and browse old content.

  • Versions of all files automatically follow the workspace versions, but can be manually controlled when needed.

  • Easily create frozen versions of all files used in an edition of a publication.

  • Version control style sheets along with the content to make sure that it is possible to recreate old documents with the same formatting.

Documentation management

Stay on track as a writing team. Organize and manage documentation projects— including content files, publication versions, modules, recipes, and images — all in one or more easy-to-use workspaces. User groups and access can be customized for further collaborative ease.

Stay in control of your content:

  • Users work together online — content never gets lost or stuck on somebody's local hard disk.

  • Everything that happens in the content is recorded and traceable.

  • Different workspaces allow projects to easily set up their own environment and work in separate branches of the same content in a controlled way.

  • Navigate each workspace separately and see only the content it uses, in the correct version.

  • Organize users in teams and give them access to the content they need.

  • Set up your publications as manageable objects and easily keep track of all editions.

  • Automatically add backtrack information to all published content, so you can see exactly what source files in what versions were used.

Editing

Write and work with your content in an intuitive and friendly user interface with innovative features.

Enjoy Skribenta's unique environment for content navigation and editing:

  • Work with your content and structure, not layout and looks.

  • Browse and refresh your memory - all your content is just a few clicks away.

  • Expand to see the details. Compress to get the overview.

  • Follow links and don't lose the context.

  • Simple controls for inserting and modifying paragraphs, images, lists, tables, drawings, formulas and other common things used in documents.

  • Choose your own quick buttons for your common actions.

Document assembly

Skribenta's powerful built-in document assembly engine is where all the various components you put into the system are compiled and assembled into production-ready documents and web content.

Where it all comes together:

  • All included topics are assembled into a whole.

  • Product data and other variables are loaded and applied to the content.

  • Conditions are evaluated and applied so the end-result is exactly what is needed for each document.

  • The translation memory is applied and all your source texts automatically replaced by your already-approved translations.

  • Images are converted if needed, depending on the output format.

  • Your content is transformed into the output format of your choice, based on your style sheet with correct branding.

  • Any missing files or translations, or other inconsistencies, are reported as actionable warnings.

Translation

Translate your content easy using powerful localization functions built-in to Skribenta. Whenever there is a need to translate content, Skribenta automates the process and cuts down cost by reusing translations.

  • Pick the publications or files you want to translate, and Skribenta will calculate exactly how much and what content that need to be translated. Everything is visible in the interface, so you can immediately verify what is included.

  • Content that is previously translated and has not changed since then is not included, as Skribenta can automatically reuse those translations, even if they are not in the same publication.

  • Once you are satisfied with the scope of a translation project, you can let Skribenta package the content to a zip file, ready to send to a translation agency. When the translations are returned from the agency, just upload the file to Skribenta, which takes care of the rest.

  • Or, assign the translation to an internal translator who can work directly in the Skribenta interface.

  • Once the translations has come into Skribenta, the translated publication is ready to be published to the delivery format of your choice. No type setting or other manual work is required.
